| Question | Short answer |
|---|---|
| When does PF generally apply? | EPFO states that covered factories and notified establishments engaging 20 or more employees fall within the standard coverage threshold, subject to applicable provisions. |
| What is the current PF wage ceiling? | EPFO continues to publish a statutory wage ceiling of ₹25,000 per month for the relevant coverage/contribution rules. |
| What is the standard contribution rate? | The standard employee contribution is 12%, with a matching employer contribution structure; specified establishments can be subject to a 10% rate. |
| When is PF normally remitted? | PF contributions are generally remitted by the 15th of the following month. |
| Can PF and ESI be handled together? | Yes. PF and ESI registration/compliance can be coordinated where the establishment and employees fall within the applicable coverage rules. |
| Which EPFO office handles a Mumbai establishment? | Jurisdiction depends on the establishment address. EPFO provides an official office locator, and Mumbai has multiple regional offices. |

Review applicability, compile employer details and support establishment registration through the prescribed online process.
Prepare or review PF data, validate member-level inputs, support ECR filing, challan generation and timely remittance.
Support employer-side UAN mapping, KYC status, joining declarations, employee master changes, and exit-related records.
Check whether PF wages and contribution calculations are consistent with the applicable framework and the employer's payroll data.
Compare contractor PF evidence with deployed workers, wage or invoice records and identify exceptions that may create principal-employer exposure.
Review historical PF compliance, contribution trails, records and vendor evidence for internal audit, transaction or risk-review requirements.
Help compile records, reconcile the issue, and prepare the employer-side compliance response for notices, inquiries or inspections within the agreed scope.
Create a common PF control process for employers with more than one branch, office, plant, payroll team or PF code.
A PF consultant works with the employer’s HR, payroll, and finance teams to keep Provident Fund compliance aligned with the data used inside the business. The work can start with registration, but for most established employers the larger requirement is the recurring monthly cycle and the records behind it.
A typical employer-side scope can include:
Review employee strength, establishment type, existing coverage, and the date from which PF obligations apply.
Compile PAN, registration/incorporation details, address, bank information and authorized-signatory records.
Submit the employer information through the applicable online registration process.
Check that the recorded establishment details match the employer's legal and payroll records.
Identify existing UANs, joining records and any employee-master exceptions before regular filing begins.
Create the monthly ECR, remittance, reconciliation, and records-retention workflow.
| Step | Employer control |
|---|---|
| Payroll cut-off | Freeze the employee and wage inputs that will be used for the PF cycle. |
| Joiner / exit review | Check new employees, UANs, exits and employee-master changes. |
| PF calculation check | Compare PF wages, employee deductions and employer contribution values with payroll. |
| ECR preparation | Prepare or review the member-level ECR data and isolate exceptions. |
| Remittance | Generate the applicable challan/payment and complete the statutory cycle. |
| Reconciliation | Match the filed ECR/challan back to payroll and the exception list. |
| Archive | Retain ECR, challan, working files and supporting records for future verification. |
Many employers prefer one compliance team to coordinate PF and ESI because both depend on accurate employee, wage, and payroll information.
If you need a PF ESIC consultant in Mumbai, Vishaal Consultancy Services can coordinate PF and ESI registration and recurring compliance within the agreed scope, provided the establishment and employee population fall within the applicable coverage requirements.
ESIC’s current published guidance states that eligible establishments generally attract coverage at the applicable employee threshold and that the existing wage limit for ESI coverage is ₹21,000 per month. The employer and employee contribution rates published by ESIC are 3.25% and 0.75% respectively.
| Compliance item | Typical timing | What should be checked |
|---|---|---|
| Payroll / PF reconciliation | Before each ECR | PF wage, deduction and member-level data should reconcile with payroll. |
| ECR & PF remittance | Generally, by the 15th of the following month | Validate the filing and retain remittance proof. |
| Joiner / UAN review | At joining / before relevant ECR | Check existing UAN and employer-side member records. |
| KYC/member-data exceptions | Ongoing | Track corrections that can affect employee service requests. |
| Exit updates | On separation | Keep exit records aligned with HR and payroll. |
| Contractor PF review | Monthly where contract labour is deployed | Match deployed workforce with contractor PF evidence. |
| Establishment-detail changes | When employer details change | Review whether the EPFO employer profile requires updates. |
The Code on Social Security, 2020 was brought into force on 21 November 2025 as part of the implementation of India’s four Labour Codes.
For employers, the safest practical approach is to follow the current Code framework together with the operational EPFO instructions, schemes, notifications and portal requirements that are in force for the relevant compliance activity or historical period.
EPFO’s current employer resources continue to publish the standard 20-employee coverage threshold, the ₹15,000 wage ceiling and the established contribution-rate guidance. Employers should therefore avoid if a headline about the Labour Codes automatically changes every operational PF value.
PF should not be built from a separate employee list after payroll is finalized. New joiners, unpaid days, wage changes, exits and deductions originate in HR/payroll data, so PF filing should use the same controlled source wherever possible.
Where payroll is also outsourced, the PF process can be coordinated with the same validated employee and wage data. This reduces duplicate data handling and gives HR and finance a clearer audit trail.

Employee PF matters can still affect an employer’s compliance workflow. Examples include an incorrect exit date, UAN mapping issue, missing employer-side KYC information, or a transfer of problem connected to employment records.
Within an employer engagement, Vishaal Consultancy Services can support the employer-side data and documentation needed to resolve such issues were included in the agreed scope.
This is different from operating as a direct PF withdrawal consultant for individuals. VCS’s published service model is business-to-business, and individual PF withdrawal, rejection or transfer enquiries are not the primary purpose of this page.
| Area | In-house team | With a PF consultant |
|---|---|---|
| Monthly ECR | Handled alongside other payroll/HR responsibilities. | Dedicated recurring PF workflow and review. |
| UAN/member exceptions | Depends on internal bandwidth and expertise. | Tracked as part of the agreed compliance scope. |
| Contractor PF | May become a document collection exercise. | Can include workforce-to-PF evidence of reconciliation. |
| Audits / notices | Records are assembled when the issue arises. | Records review and employer-side response support can be scoped in. |
| Multi-location control | Processes can differ between teams. | Common checklist, ownership, and escalation structure. |
| Compliance updates | The internal team must monitor and interpret changes. | Relevant PF updates are built into the compliance workflow. |
The service is built for establishments, HR, payroll, and finance teams rather than direct consumer withdrawal work.
Vishaal Consultancy Services was established in 2001 and has long-standing experience across HR, payroll and statutory compliance.
VCS publishes a portfolio of more than 250 clients across India.
Related employer compliance can be coordinated through one service provider that was included in scope.

A PF consultant can support EPFO registration, monthly ECR filing, remittance, UAN/member administration, payroll reconciliation, contractor PF checks, historical records review, audits and employer-side EPFO matters. The exact scope depends on the establishment.
EPFO’s current employer guidance states that the EPF framework applies to covered factories and notified establishments engaging 20 or more employees, subject to the applicable provisions. Employers should check their exact establishment facts and coverage date.
The statutory EPFO wage ceiling increased from ₹15,000 to ₹25,000 per month, effective 17 September 2026, under Gazette Notification S.O. 5109(E). Mumbai employers should review employee eligibility, PF contribution calculations, EPS applicability and payroll records based on the revised ceiling and applicable scheme provisions. Read our EPFO wage ceiling update for 2026 for more details.
EPFO publishes a standard employee contribution rate of 12%, with the employer contribution structured across EPF/EPS/other applicable heads. Specified establishment categories can be subject to a 10% contribution rate.
PF contribution is generally required by the 15th of the following month. Employers should finish payroll and member-data checks before the due date so errors are not discovered at filing time.
