PF compliance usually becomes difficult at the hand-off points: payroll to ECR, new joiners to UAN records, contractor bills to PF proof, or an old discrepancy to an EPFO notice. A small mismatch can sit unnoticed for months and surface during an inspection, due-diligence review or employee claim.
Vishaal Consultancy Services supports employers in Chennai with EPFO registration, monthly ECR and remittance, UAN and KYC administration, PF-payroll reconciliation, contractor compliance checks, audits, backlog correction and employer-side EPFO representation. Our work is built for HR, finance and payroll teams that need PF records to stay accurate month after month.

The legal framework for provident-fund compliance changed materially after the four Labour Codes were brought into effect from 21 November 2025. PF administration now sits under the Code on Social Security, 2020 and the Employees’ Provident Funds Scheme, 2026, supported by current notifications and EPFO directions.
For employers, the practical job is to review the new framework without assuming that every legacy payroll setting is automatically correct. The notified statutory wage ceiling is ₹15,000 per month, while the standard PF contribution rate remains 12% for establishments and employee classes to which that rate applies. Wage-definition rules, employee coverage, payroll components, and historical exceptions should still be checked in the context of the current law.
| 2026 review area | Employer action |
|---|---|
| Legal framework | Map current processes to the Code on Social Security, 2020 and Employees’ Provident Funds Scheme, 2026. |
| Wage ceiling | Check employee coverage against the notified ₹15,000 statutory wage ceiling and the applicable rules. |
| Contribution | Validate employee and employer PF calculations; the standard rate remains 12% where applicable. |
| Payroll structure | Review wage components and the current wage-definition rules instead of relying on old payroll assumptions. |
| Employee master data | Keep UAN/member details, joiners and exits aligned with payroll and HR records. |
| Historical periods | Treat old-period defaults, notices or proceedings separately where the legacy law/scheme remains relevant to that period. |
| Compliance failure | Likely business impact |
|---|---|
| Late remittance | Interest and applicable statutory consequences; repeated delays also create a poor compliance trail. |
| Eligible employees left out | Potential past-period contribution exposure, correction work and employee/member disputes. |
| Wrong PF wage or ECR data | Revised workings, return corrections, demands, or further scrutiny depending on the issue. |
| Contractor PF mismatch | Principal-employer risk where contractor evidence does not support the workforce actually deployed. |
| Weak or missing records | Harder notice response to longer audits and greater difficulty proving how contributions were calculated. |
| Ignored EPFO notice | Escalation into assessment, recovery, or other enforcement action depending on the case. |
A clean ECR starts with clean payroll data. Employee status, PF wages, deduction values, employer contribution and the month’s joiner/exit changes should tell the same story in payroll and in the EPFO filing. When the two teams work separately, mismatches tend to recur.
Vishaal can coordinate PF compliance with your existing payroll team or manage both functions where required. For a combined setup, see our Payroll Company in Chennai service.
We support Chennai employers and multi-location organizations with establishment or employee operations across areas such as Ambattur, Guindy, Taramani, Perungudi, Sholinganallur, Velachery, Tambaram, Anna Nagar and the OMR business corridor. The same central team can also coordinate PF compliance where the business has locations elsewhere in Tamil Nadu or other states.
| Area | In-house only | With a PF consultant |
|---|---|---|
| Monthly ECR | Handled by HR/payroll staff alongside other work | Dedicated monthly compliance workflow and review |
| UAN/member exceptions | Depends on internal bandwidth and EPFO familiarity | Tracked as employer-side exceptions with follow-up |
| Contractor PF | Often document collection only | Reconciliation-oriented review of workforce and PF evidence |
| Notices / inspections | Internal team gathers records when issue arises | Structured record review, response preparation and coordination |
| Multi-location control | May vary by branch or payroll team | Central checklist, ownership and escalation path |
| Legal / process updates | Team must monitor changes independently | Compliance updates can be built into the engagement |
The service is designed for companies, establishments, HR teams and payroll functions -not individual PF withdrawal cases.
Vishaal Consultancy Services was founded in 2001 and has worked across labour-law, payroll and statutory-compliance assignments.
PF can be coordinated with ESI, professional tax, payroll, statutory compliance, and labour-law advisory where the client needs an integrated setup.
A defined coordinator and backup structure reduce dependency on one internal or external person.
The same engagement can extend from monthly compliance into records of review, historical corrections and employer-side representation.
Useful for organizations whose registered office, payroll team, branches, plants or employees are spread across more than one state.
